Enquiries and client support

When you contact us, we use your contact details and the information you provide to respond, understand your requirements and manage the conversation. Client and software support may involve account details and information needed to investigate an issue. Please avoid sending passwords, encryption keys or sensitive operational records through an ordinary enquiry.

Information and purposes

We collect information you provide, including your name, email address, business details, enquiry, support conversation and files you choose to upload. Website and hosting systems may record connection and diagnostic information, such as an IP address, browser and request time, to operate the service and investigate faults or misuse.

Why we use it

We use information to respond to enquiries and take steps you request before a contract, and to deliver agreed services under a contract. Our legitimate interests include managing business enquiries and support, maintaining service reliability and investigating misuse, balanced against your rights. We may keep records to meet legal obligations. Any separate marketing subscription or optional tracking uses the applicable permission or other lawful basis; making an enquiry does not sign you up for marketing.

Service providers

Our website and associated hosting services are provided through Unlimited Webhosting. The enquiry form and client ticket system store or send information needed to handle your request. Authorised DesignWorks staff and relevant service providers may access information where necessary to deliver support, maintain the service or meet legal obligations. We do not sell enquiry or client-upload data. If a service involves processing outside the UK, applicable transfer safeguards are required. Contact us for details relevant to your service or request.

Cookies and analytics

Website sign-in, account functions and service preferences may use necessary cookies or local storage. Google Site Kit is connected for website measurement and administration. Optional analytics, where enabled, may process usage information through Google. Optional tracking must follow the applicable cookie choices and permissions. Your browser can remove stored cookies; removing sign-in cookies may sign you out.

Retention and your choices

We review closed support tickets and their uploaded files for deletion 24 months after closure. This is a review point, not a promise that every copy is automatically deleted on that day. Records still needed for an active matter, contract, legal obligation or dispute may be retained longer, with their purpose reviewed. Account, enquiry, backup and contractual records are managed according to their continuing purpose and applicable requirements. Avoid using this portal as the only copy of your project files.

Your rights and contact

Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information, object to processing based on legitimate interests, and withdraw consent where processing relies on consent. You can raise a concern with the Information Commissioner's Office.

Client files and sensitive information

Only upload files you are authorised to share and the information needed for your request. Do not include passwords, recovery keys or unnecessary personal driver, medical or financial records. Use the agreed secure transfer route for particularly sensitive or oversized files. If you supply personal information on behalf of someone else, ensure you have authority and have provided the necessary information to them.
